Job Title: Receptionist & Education Support Coordinator

Location: Holocaust Memorial & Tolerance Center of Nassau County, Glen Cove, NY 

About the Role

The Holocaust Memorial & Tolerance Center is seeking a polished, reliable, and welcoming Receptionist to serve as the face of our organization. As the first point of contact for students, educators, and survivors, you play a critical role in setting a respectful and professional tone for all who enter our center.

This position is ideal for a well-spoken individual who enjoys a mix of public interaction and behind-the-scenes organizational support.

Key Responsibilities

  • Front Desk & Visitor Relations

  • Professional Representation: Maintain a professional appearance and demeanor, serving as a dignified ambassador for HMTC.

  • Guest Relations: Warmly greet and welcome all visitors, providing clear information and guidance upon arrival.

  • Communication: Manage incoming calls and inquiries with a well-spoken, articulate, and helpful phone manner.

Education & Docent Support

  • School Visit Prep: Assist docents in preparing materials and logistics for daily school tours and group visits.

  • Logistics Coordination: Organize and set up educational rooms for student groups, ensuring all necessary materials and seating are prepared in advance.

  • Arrival Management: Coordinate the flow of students and teachers as they arrive, ensuring tours stay on schedule.

Schedule & Requirements

  • Hours: Monday – Friday, 8:30 AM – 4:30 PM (In-Person).

  • Weekend Receptionist Position Open Sat - Sun 12:00 - 4:00

  • Attendance: Punctuality is essential, as this role is vital for the start of our morning educational programs.

Job Title: Administrative Assistant 

Location: Holocaust Memorial & Tolerance Center of Nassau County, Glen Cove, NY 

Job Type: Full-time | On-site Hours: 9:00 am - 4:30 pm Monday - Friday Some evenings and weekends. Flexible summer schedule possible. 

About HMTC: 

The Holocaust Memorial & Tolerance Center of Nassau County (HMTC) is dedicated to Holocaust education, remembrance, and combating antisemitism through education via museum exhibitions, educational programs, events, and community outreach, HMTC empowers individuals of all ages to become upstanders in their schools, workplaces, and communities. 

Position Overview: 

HMTC seeks a highly organized, reliable, and proactive Administrative Assistant to support daily operations across multiple departments, including administration, education, programs, events, and our podcast studio. This is a dynamic position that requires a team-oriented individual who thrives in a mission-driven environment and is comfortable multitasking in a fast-paced, collaborative setting. 

Key Responsibilities: 

Administrative Support: 

  • Serve as the point of contact at HMTC (phone, email, and at times filling in at the front desk) with professionalism and warmth. 

  • Maintain calendars, schedule meetings, and assist in managing internal and external communications. 

  • Provide administrative support to the staff as needed. 

  • Maintain contact and mailing lists; assist with mailings and donor acknowledgments. 

Education Department Support: 

  • Assist with scheduling, planning, and coordinating school and group visits to HMTC. 

  • Prepare materials for school programs; assist with logistics before, during, and after visits. 

  • Support the education team in communicating with teachers, organizing transportation, and managing evaluations or follow-up tasks

Program & Event Coordination: 

  • Assist with planning, implementation, and logistics of public and private events (in-person and virtual). 

  • Assist, when needed, with event details including RSVPs, check-in, signage, setup, and breakdown. 

  • Maintain guest lists and assist with post-event communications and reporting.

Cross-Departmental Support: 

  • Serve as a flexible team member to support other departments including the museum, education, development, and marketing as needed. 

  • Assist with special initiatives led by other team members.

Podcast & Media Support: 

  • Support staff with logistics related to podcast recording sessions (e.g., scheduling, studio prep, tech setup/ recording assistance). 

  • Assist with podcast guest communications, releases, and content organization.

Qualifications: 

  • Passionate about combating antisemitism and all forms of hate.

  • Prior administrative or office experience. 

  • Strong organizational and multitasking skills with keen attention to detail.

  • Excellent verbal and written communication skills. 

  • Comfort with technology and graphic design is a plus - including Google Workspace, Canva, and social media platforms. 

  • Ability to work independently and collaboratively across departments.

  • Professionalism, discretion, and a commitment to the mission of HMTC.

  • Availability to occasionally work evenings and weekends for events or programs. 

Preferred Qualifications: 

  • Experience working with Canva, Social Media and CRM databases is a plus.

  • Interest in Holocaust education, combating antisemitism and/ or nonprofit work.
